EIFEC is the International Standards Organization for compliance in areas that are
a threat to international security as of nuclear, biological and chemical armaments proliferation, Weapons of Mass Destruction, Sanctions (Export Compliance).

HER STANDARS

The present situation requires non only the development of proper emergency practices, policies and procedures, but also the possibility of making them certified by accredited qualified third parties (Assurance aim): all new Regulatory Frameworks have to be put into a proper compliance process, which shall undergo verification and validation by impartial experts.

Any Certification needs the provision by an independent body of a written assurance (i.e. a certificate) that specific requirements are met: this demands the maximum effort of standardization, since Standards are “an agreed way of doing things”, help organizations in managing their procedures, and may include – as in this case – the requirements against which a process can be certified.

For this reasons, with the support of UNIFEC, HEALTHBY, and other expert groups EIFEC has developed the new emergency International Standards series EIFEC ES2001.06:HBY, which are powerful tools that can make organizations more effective in their fight against Covid-19, and people’s everyday lives safer and healthier. This Series include two different kinds of Standards:

HER-CMS Health Emergency Risk Compliance Management System

The EIFEC ES2001.06:HBY/HER INTERNATIONAL STANDARD can be adopted and implemented by all organizations, regardless of their size and kind of business, since all of them are called upon to run an adequate program for the overall management of the prevention and containment of the health emergency by Covid-19, based on their complexity and risk profile.

Compliance Management Systems for Sanitization Service Providers (SSP-CMS)

The EIFEC ES2001.06:HBY/SSP INTERNATIONAL STANDARD is specifically addressed to Sanitization Service Providers, based on the fact that one of the most critical measures for the management of the epidemiological emergency is the deep cleaning and Sanitization of any indoor or delimited places, an activity that must be reiterated periodically, often at very short intervals.

ADDED VALUE

Certifying a Compliance Management System (CMS) – as well as many other systems and procedures – is a fundamental added value and can be a useful tool for an organization to achieve greater reliability: being verified and validated by impartial accredited experts avoids the risk of self-referentiality and provides authoritative confirmation that what has been prepared and implemented actually meets the necessary requirements.

Undergoing CMS Certification process signals a clear indication that an organization desires to provide its services in the most effective and serious way
, by virtue of its decision to voluntarily submit to third-party evaluation. This:
• encourages public confidence and enhances a strong effect of external credibility;
• mitigate the legal responsibility of the organization by the accountability and transparent aspects of the process;
• sustains its continual improvement through the assessment of system effectiveness, efficiency, and competence.
 
Any Certification process entails an audit, and requires the candidate for certification to have or acquire adequate preparation and competence.

AUDIT

Audit is a documented process for obtaining, verifying, and evaluating records to determine the extent to which the set of requirements is fulfilled and, in an ordinary context, each organization can determine the audit cycle that it deems most appropriate for its characteristics.

In the present epidemic context, due to the potential life-threatening severe consequences of any non-compliance to requirements of our Standards, a specific simplified audit has been set up by EIFEC.
Besides, considering the circumstances, we have also activated a proper remote audit mode, to be carried out online using mobile or desktop applications with the same effectiveness as an onsite audit.

Audits shall be conducted based on the specific guidelines and requirements for accredited certification bodies EIFEC ES2001.06:HBY/HER/AUDIT, and could be joint audit sessions of two or more auditing experts or organizations so to evaluate the CMS in relation to the specific competencies required by the Health emergency context.
At the end, an official audit report will be released.

The determination of the audit program and any subsequent adjustments shall consider the size of the organization and the scope and complexity of its CMS, as well as the level of management system effectiveness and the results of any previous audits, if any.

OUR CERTIFICATION

The available Certification process applies to the Health Emergency Risk Compliance Management System (HER-CMS) and the Sanitization Service Providers Compliance Management System (SSP-CMS).
This Certification is provided also in a simplified version specially designed for Micro, Small and Medium Enterprises (MSME) for both the CMSs, so to apply in full our philosophy, which is: “Compliance for all”.

In addition, due to the emergency and urgency to demonstrate an organization’s commitment to implement this specific CMS, the Interim HER-CMS process activation Certification has been developed and created.

As for the necessary sanitization measures, EIFEC can provide all organizations with a specific registration mechanism aimed at satisfying the requirement of sanitization activities tracking. It is available at the ECR – EIFEC Compliance Register (Brussels), it’s activated during epidemic periods and entails an enhanced Complaint process.

Finally, a Training Attendance Certificate will be released at the end of the online course prepared and issued by EIFEC (in cooperation with the University of Turin and other institutions and experts) about how to suitably manage the necessary cleaning and sanitizing activities within its own living and working spaces.
